Your Springtime Event Checklist: What to Book, Plan and Prepare
Spring is finally here, and with it comes the return of warmer days, lighter evenings, and the perfect excuse to throw an outdoor celebration! Whether you’re organising a school fun day, planning a corporate event or just looking to make the most of the good weather with a community celebration, spring is one of the best times to bring people together.
To help you get started we’ve pulled together a handy checklist so that you can get the planning process off to a smooth (and stress-free) start.

1. Start with your goals (and your guests)
Before diving into the details take a moment to think about your aims. Is your event about boosting team morale, rewarding students, raising funds, or simply having fun? Knowing your ‘why’ will help shape every decision, from venue choice to entertainment.
You’ll also want to keep your audience in mind. Planning a school event? Think age-appropriate fun and inflatables that can handle lots of use. Organising a workplace celebration? You might want more team-building challenges or nostalgic games with a twist. Once you’ve figured out what you’re working towards, it’ll be much easier to make choices that tick all the right boxes.
2. Choose the right venue
Spring brings a whole host of venue options from school playing fields and sports halls to corporate office courtyards and local community centres. Your entertainment will help dictate your space needs, so make sure to consider access, electricity, indoor alternatives (just in case the weather turns!), and how guests will move through the event.

3. Get your date in early
Spring can be a busy season, especially as the school calendar ramps up and businesses start to organise their summer socials. Get your date locked in as early as possible that way you can beat the rush and ensure you’ve got the best availability on venues, entertainment and catering.
If you’re working with multiple stakeholders like venue staff, suppliers, or local authorities, don’t forget to check in with them too before making anything official.
4. Book your entertainment
Once your date is locked in, it’s time for the fun bit, choosing your entertainment!

5. Sort out logistics and safety
Behind every brilliant event is a solid logistics plan. Start by confirming your arrival and setup times, making sure there’s easy access for equipment delivery and staff on hand to help with unloading and setup.
We bring everything needed for a smooth, safe day and we will always have a member of staff on-site to supervise key activities.
Safety is a huge part of what we do. All our inflatables meet the EN14960 British safety standard, and our equipment is regularly tested and certified by RPII and PIPA. We’re also fully insured and ensure all electrical equipment is PAT tested so you can focus on the fun knowing everything is covered.
6. Think about food and refreshments
It’s not a party without a few treats! Depending on your event style, you might be planning a full BBQ or simply looking to add a few sweet extras. Our fun food stalls from popcorn and candyfloss to our popular doughnut wall are always a big hit with both kids and adults, and they’re a great way to give your event that little something extra!
Top tip: If you’re planning a longer day, consider setting up a dedicated refreshment zone with drinks and snacks to keep everyone happy and hydrated.

7. Add your finishing touches
Once the big elements are sorted, it’s time to pull everything together with those thoughtful extras. This could be anything from music playlists and bunting to signage, team t-shirts or a photo booth for guests to snap some memories. Think about your event flow too will there be a welcome point? A break area? Somewhere to store bags or coats?
The little details are what transform an event from fun to unforgettable.
