Your handy end of term celebration checklist
As the school year draws to a close, there’s one thing on everyone’s mind, celebrating!
An end of term celebration is more than just a fun day out, it’s a way to reward students (and staff) for a year of hard work. Whether you’re planning a fun-filled day for primary school pupils, a reward event for college students, or a full-scale celebration for staff and families, having a clear checklist will help you stay organised and make the most of your end of term event!
1. Set the date early
Before anything else, get your date locked in. End of term diaries fill up fast with exams, leavers’ events, and teacher wrap-ups, so it’s best to plan ahead. Choosing your date early also gives you the best chance of securing your favourite entertainment and suppliers before they get booked up.
2. Confirm your guest list
Will your celebration be just for students, or are staff, families and younger siblings invited too? Knowing your numbers helps shape every other part of your planning, from venue size to food and activity options. Keep in mind any access needs or age groups when selecting your activities!
3. Choose the right venue
Where you hold your event can make or break the day. Whether it’s your school field, a local park, or a hired outdoor venue, make sure your location is safe, accessible, and spacious enough for your plans. If you're hosting outside, check whether there are shaded areas or indoor backup options in case of bad weather.

No party is complete without some tasty treats, whether it’s ice cream vans, BBQs, food trucks or picnic-style packed lunches, food is always a highlight, especially on a sunny day!

6. Think about safety and supervision
With large groups, moving parts and inflatable equipment, safety needs to be a top priority. Make sure you have enough staff or volunteers on hand to supervise activities, guide guests, and help with setup and pack-down.

We’re also fully insured and ensure all electrical equipment is PAT tested, so you can focus on the fun knowing everything is covered!
7. Add the finishing touches
It’s the little extras that turn a fun event into an unforgettable one. Think themed decorations, goody bags, music, banners and signage. Want to give students a keepsake? Branded photobooths, certificates or prize giveaways are all lovely ways to end the term on a high.

8. But don’t forget to have a wet weather plan!
It’s the UK, so even in July and August, the skies can surprise you. Make sure your checklist includes a backup plan. Whether that’s hiring a marquee, moving to the school hall, or having indoor activities on standby, a little prep goes a long way!
